Payment
When it is time for you to pay a deposit or final
payment we will send you your booking information via
e-mail. At that time you can either choose to fax us your
credit card information or mail in a check or money order.
Credit Card Authorization
Form - Use if you are calling in or faxing your credit
card.
If you are paying by check or money order, we
ask that you send the payment to us a week prior to the
due date so we can receive it in time.

Terms and Conditions of Villa Rental
Deposit & Final Payment
Your deposit constitutes your acceptance and agreement
to the terms, conditions, limitations and restrictions
as shown in this document; “Terms and Conditions
of Villa Rental”.
Deposit:
A 25% deposit is required 7 days after the reservation has been made for non holiday bookings.
A 50% deposit is required 7 days after the reservation has been made for Easter, Thanksgiving, Christmas or New Years bookings.
Final Payment:
Due 60 days prior to the arrival date for non holiday bookings.
Due 120 days prior to the arrival date for Easter, Thanksgiving, Christmas or New Years bookings.
Cancellation (non holiday rental):
- A 20% cancellation fee (20% of the deposit paid) will be retained plus costs incurred by Caribbean Villa Hideaways for credit card processing (usually 3% of deposit paid) and bank wire transfers on money already paid, for all cancellations.
- We must be notified of all cancellations and any changes in your reservation (for example, number of people staying in the villa), in writing and emailed, faxed or mailed to us promptly.
- If you cancel 60 days or more prior to your scheduled arrival date at the villa, you will receive a full refund minus the cancellation fee and the costs incurred by Caribbean Villa Hideaways.
- If you cancel less than 60 days prior to your scheduled arrival date at the villa, a refund will only be given if the property can be rented.
- If a villa becomes unfit for habitation due to natural disaster we will try our best to accommodate guests in another villa. If this can not be done a refund of the monies paid, for the villa only, will be issued in full.
Note: Refunds will be paid by check even if deposit was paid by credit card.

- If you cancel less than 120 days prior to your scheduled arrival date at the villa, a refund will only be given if the property can be rented.
- If a villa becomes unfit for habitation due to natural disaster we will try our best to accommodate guests in another villa. If this can not be done a refund of the monies paid, for the villa only, will be issued in full.

We suggest that all of our customers purchase travel
insurance, to help with unforeseen circumstances.
No-shows, later arrivals, change in number of persons in your group after arrival, and early departures are all non-refundable.
Changes to Reservations
We must be notified of any changes in your reservation (for example, number of people staying in the villa), in writing and emailed, faxed or mailed to us promptly.
For reservation change requests we will make every effort to accommodate your request but we cannot guarantee such requests can be met.
We suggest that all of our customers purchase travel
insurance, to help with unforeseen circumstances.
Hold Policy
If a request if made for us to hold a villa,
we can do so, for up to 7 days (unless their is another
request for the same villa to be rented). If we have not
received the deposit with in those 7 days, we will be
required to release the hold.
Mother Nature/Unforeseen Circumstances/Hurricanes
Hurricane season is normally between August
and November. Please keep in mind that Mother Nature is
out of our control. If for some reason you have a flight cancellation (due to a hurricane, etc.) or other related problems, we will do our best to either extend your vacation or reschedule for another time. If a storm is forecasted and evacuation is required, guests must vacate the villa. We are not responsible for securing other lodging (however we will try our best if weather permits with other villas) or flight reservations. Guests must contact the airline for more information. If evacuation is required and we are unable to accommodate guests in another villa a refund will be issued only for the unused nights of the villa.

insurance, to help with unforeseen circumstances.
Property Descriptions
All descriptions and information such as distances,
house features, rates, pictures, etc., are given in good
faith. We are not liable for any minor errors or inaccuracies
in the property descriptions, rates etc. in any part of
our website.
Services Included/Excluded
Except where specifically noted in the detailed property
descriptions rental prices include utilities, villa staff
including cook, maid, and gardener, evening security guard.
Specifically excluded from the rental price are costs
for food, drinks, international telephone, nanny or baby-sitter,
guide, chauffeur, automobile, lessons, etc. If such services
are offered at all, they are payable directly from the
client to the person providing this service.
Complaints and Maintenance
No refund or rate adjustment shall be made for unforeseen
mechanical failures such as the supply of electricity,
water, pool filtration systems, air conditioning, hot
tubs, whirlpools, television, cable service, appliances,
etc. Clients should attempt to deal with problems on the
spot through their villa staff manager (typically your
cook). If a problem occurs which cannot be satisfactorily
dealt with by the villa staff, clients should ask the
staff to contact the local villa manager. Vacating the
property will not be considered sufficient cause to claim
a refund. If the problem is justified and not solvable
clients must give the villa manager the opportunity to
find suitable replacement accommodation. If the client
will not accept the replacement accommodation the client
may vacate the property and a refund will be issued minus
a cancellation charge of 50%. The nights that were spent
at the villa will not be included in the refund. All nights
where the villa was occupied will be charged at a pro-rated
nightly rate (weekly rate divided by seven). In no event
will a claim for refund be entertained if lodged after
the end of the rental period.
Entry Into Villa
The local villa manager or its staff may be required to
enter your villa to perform maintenance or repairs as
necessary. They will make every effort to schedule these
visits at a time convenient to you, to respect your privacy,
and not interrupt your vacation.
Parties and Weddings
Caribbean Villa Hideaways would like to maintain a quiet
and enjoyable atmosphere for our guests. We rent to family
groups and responsible adults only. Absolutely NO house
parties or functions such as weddings are allowed without
advance WRITTEN permission from Caribbean Villa Hideaways.
Guests should not disturb other residents of the neighborhood.
Limitations of Liability
Caribbean Villa Hideaways is acting hereunder as an agent
for accommodations, and maintains no control nor assumes
responsibility over the equipment, facilities, operations,
agents or employees of the owner of the accommodation
and shall not be liable for any claim, loss, damage, cost
of expense, or any person occupying or visiting the accommodation
arising out of personal injuries, accident or death; property
loss or damages; loss or changed itinerary resulting from
any acts or omission of the owner of the accommodation,
his employees or agents, or any other party not under
the direct employment and control of Caribbean Villa Hideaways
or from any act of God, war, strikes, government or any
other event or cause beyond its control. It is recommended
that each guest procure travel
insurance for the protection of persons and
property and with respect to personal liability, while
traveling to and from the occupying accommodations. In
the event of any dispute, this rental agreement is subject
to the laws of the state of Colorado, USA, shall apply
and the prevailing party shall recover its costs, expenses
and attorney's fees.
